Compliance

Are your products 21 CFR part 11 compliant?

Yes, eLabNext uses digital signatures to sign and lock data in the platform. You can choose to sign and lock experiments with a single digital signature or to request a second witness signature to lock experiments permanently. Once an experiment has been signed and locked, data can no longer be modified afterward, ensuring the authenticity of linked data files in the system.

Can your products be used to certify my lab?

Getting your lab ISO certified is not just a matter of implementing a system. However, eLabNext can help your lab fulfil the requirements of ISO efficiently and cost-effectively. It, for instance, offers automatic logging of changes in data and keeps automatic file versions of every change.

Are your products GLP compliant?

Yes, eLabNext products include all required features to work following Good Laboratory Practice (GLP). All changes to data entries in the ELN are logged, and all versions of a file are kept and can be recovered at all times. Furthermore, Users cannot delete data from the system.

Data Storage and Back-ups

What is your back-up strategy?

Keeping your data safe is our top priority. In case of a disastrous event, we have a full recovery procedure in place to restore data. All data and attached files are backed up every 24 hours to two off-site locations and are kept in an encrypted vault. Back-ups are kept up to 6 months. We can perform full system recovery from the latest back-up, including all uploaded data. A full system recovery procedure periodically verifies back-ups.

Is my data backed up?

Yes, of course. Besides the real-time replication of data stored in the Cloud to 3 different data centers, a full back-up of all data, including all data files, is made every 24 hours. Data back-ups are stored as a fully encrypted file to an external vault in case of an emergency and a full recovery necessity. Generated back-ups are periodically verified during a full system recovery procedure.

How much data can I store?

In principle, the amount of data you can store in the Cloud installation is unlimited. With the Cloud, each user has 20GB of storage space to store and link data files in eLabNext products. In case you need more storage space, you can upgrade per 100GB in the Cloud. To link large data sets to experiments in the Cloud, we recommend using the eLabHybrid Storage solution in which you can link a local file server in your lab to the Cloud. All uploaded data files in the ELN will be stored on the local network server, while eLabNext products provide file versioning and keep all file hashes to guarantee data authenticity. For more information about our hybrid storage solution, please contact us.Alternatively, you can choose to get a Private Cloud installation that includes a standard storage capacity of 1 Tb or the On-Premises installation. The provided hardware of the organisation defines the storage capacity.

What export formats are available?

The following export formats are supported: PDF, HTML, XML, or JSON.

What happens if a person leaves the lab?

If a student or scientist leaves your lab, you can block the user in the lab. The account of the user will be locked to view or access any data in the lab. All data added by the user in the labs remains available for the lab to use, even though the user has no access anymore. The license seat taken by the blocked user can be allocated to a new user. If your organisation has a key-user that centrally manages user accounts, disabling a user will deactivate the user account. The particular user cannot log in to his/her account anymore.

What do I need to use Office Web Apps?

As Excel is a Microsoft product, the use of Excel in the eLabNext platform requires a license. Most (academic) organizations have a volume license for Microsoft Office's use that includes unlimited use of Microsoft Office Web Apps by its employees. In that case, the use of Office Web Apps in eLabJournal is allowed without additional license costs in the Private Cloud and On-Premises installations. In case your lab uses the Cloud, Excel can be included either as an add-on in the Cloud license for an additional license fee, or we can provide a dedicated Office Web Apps server for your organisation that is licensed under the client's existing office volume license. For a free alternative to Microsoft Excel integration, you can install the eLabWebEdit.

What kind of data can I link in the ELN?

You can upload and link any file or file type in an experiment registered in the ELN functionality.

Features

Two-step verification

Two-step verification is an optional security feature that adds an extra layer of protection to your eLabNext product account. Once enabled, there will be required a six-digit security code in addition to your password whenever you sign in to eLabNext products. As a group administrator, you can enforce two-step verification for all members in the lab.

General

Do eLabNext products work on a Chromebook?

Yes, eLabNext products run on any device that uses one of the generally used and supported browsers. However, our add-ons are only available for Windows and Mac and are not available for a Chromebook.

Can you give us a list of references?

We provide our solutions to clients worldwide. Some of our clients provided public testimonials and case studies that you can find on this website. As we respect our clients' privacy, we do not provide the contact information of our clients without prior consent. What are the requirements for a local installation?

For the most straightforward On-premise installation, a set of the following preconfigured servers should be provided by the client:

  • Application server: Microsoft Windows Server 2016 or 2019 (preferably), including the capacity for file storage
  • Database server: Ubuntu Server 18.04 LTS or 20.04 LTS
  • Microsoft Office Online Server (OOS): Microsoft Windows Server 2016 (if applicable)
  • Reverse Proxy / Load Balancer and Firewall (e.g., Linux server, if applicable)

In the standard setup, data files are stored on the application server. Disk space on the application server should be provided under the client's storage space requirement. Optionally, eLabNext also supports a more scalable, high-availability, and shared-nothing architecture. Please contact us to request the full technical specifications or read more.

Installation and periodic maintenance of eLabNext products are done remotely by providing us access to your servers using a secured VPN connection. We use Octopus Autodeployer for remote system installations to provide your organisation with the latest software updates.

How can I upgrade my free trial account?

What are the advantages of using an ELN?

ELNs, or Electronic Lab Notebooks, offer numerous advantages over traditional paper lab notebooks. An ELN offers flexibility, the ability to collaborate and share data with other lab members efficiently, and the option to archive research data after a scientist has left the lab.

Inventory and Sample Management

Can I import samples into the system?

Yes, there is an option to import existing data of inventory collections in the lab. We offer a tool to import samples into the system. Also, we can provide Excel templates that you can fill out to import specimens, strains, and other inventory collections. Migration from Excel templates is offered as an additional service when setting up your lab for the first time. In this way, we can help make sure the setup for your lab runs as smoothly as possible and the system is delivered as a ready-to-use solution.

How can I install a DYMO LabelWriter?

***UPDATE: At the beginning of 2022, DYMO officially discontinued the LabelWriter 450 series of printers. Due to compatibility issues with the drivers and labels used by DYMO’s 550 series, eLabNext has been forced to discontinue future updates to the DYMO LabelWriter add-on and has ended support for label printing on DYMO-brand devices in 2023.The current version of the DYMO LabelWriter add-on will remain available in eLabMarketplace for customers who have already installed it. While the add-on is still live, eLabNext will continue providing support for the existing features. In the meantime, we strongly recommend any labs using a DYMO printer to consider transitioning to one of eLabNext’s other support printing solutions, such as the ZPL Printer or FLUICS Print.***The DYMO LabelWriter is an add-on to eLabJournal and eLabInventory, which allows printing labels for samples and compartments with 2D barcodes. You can purchase DYMO LabelWriter at your local office supply, or you can get them from LabTag or Diversified Biotech. To install the DYMO LabelWriter successfully, please follow the installation instructions.

Can I change sample types?

Yes, sample types are only templates for storing sample information. If you change a sample type configuration by adding or removing fields, the existing samples' info is unaffected. In case a field is removed, the stored data in this field for stored samples remains available. When a field is added, the field is appended to the sample entry form. Read more.

Security

What happens if your data center goes down?

The Cloud is hosted by multiple geographically distant data centers. The Cloud is a fully redundant system with shared-nothing architecture replicated in real time. In case of a disastrous event (i.e., power outage, flooding, fire, earthquake, etc.) in one of the data centers that affect the Cloud server's availability in that data center, all active client sessions are automatically taken over by the second data center. The server load is monitored in real-time in both data centers, and the average server load is kept below 20% to support peak resource usage without impact on the performance of the server. The dedicated Private Cloud and On-Premises installations can also be configured as a high-availability system installation in data centers.

Can I authenticate using LDAP/AD/SSO?

For organisations that require user authentication via federated login, eLabNext supports authentication via AD/AD FS/LDAP. Once this has been activated for your organisation, users can log in with the organisation's credentials. Note that federated login is only available for Private Cloud or On-Premises installation. In the Cloud, authentication via SURFConext is available. For more information, please contact us.

What level of encryption do you offer to protect my data?

All server-client communication is secured and AES-256-bit encrypted using an SSL (HTTPS) connection. eLabNext products use an Extended Validation (EV) SSL class III certificate that has been issued by Comodo, a registered Certificate Authority (CA).

Who has access to my data?

The eLabNext Cloud-hosted services are from ISO-certified data centres with strict access control measures. To provide the best quality support, eLabNext employees can access your data when requested. All eLabNext employees have been screened and signed a confidentiality agreement. For organisations with strict IT policies that require storage of data within the organisation data centre, we can also provide eLabNext products as an On-Premise installation.

Is my data secure?

Data security is a concern for organisations that are looking to implement a web-based electronic lab notebook. Although the advantages of cloud solutions are widely acknowledged, the use of cloud applications sometimes conflicts with strict security policies within an organisation. eLabNext understands these concerns, and therefore security always has been a top priority. eLabNext is a brand of Bio-ITech BV, part of Eppendorf Group. Bio-ITech is ISO/IEC 27001 certified and takes all required measures to ensure the safeguarding of your intellectual property. Read about the measures we take to safeguard your data. System Hosting and Installation

Do eLabNext products run without an internet connection?

Yes, it is possible to run eLabNext products without an internet connection in an On-Premises installation. However, certain functionalities, such as third-party add-ons that require an internet connection, do not work. For periodic system maintenance and installation of software updates, it should be possible for the server to fetch updates via the internet.

How often do you provide system updates?

We are continuously improving the functionality of eLabNext products by developing new features. Development is performed according to a continuous development strategy in which new updates are continuously launched in the Cloud. Our Private Cloud and On-Premises installations are updated every quarter by default. Optionally, we can provide an acceptance environment on which software updates are installed first to be approved by the organisation before deployment in the organisation-specific eLabNext installation.

Do you have an API?

Yes, eLabNextl has a REST API. Find the technical information about how to use the API in the REST API documentation.Using the API is one way to generate custom reports and connect other applications in your organisation. For more information about the API, please do not hesitate to contact us.

Can we install the system ourselves?

This is not needed. We provide eLabNext products as subscription-based solutions that we can also install on your organisation's servers. Part of our delivered service is the system installation and providing periodic updates. In case your organisation prefers a local system installation, we can provide your IT department with the technical specification of the required (virtual) server configurations. Once the servers are provided, we use a secured VPN connection and Octopus Deploy to install and maintain your system installation.

Can I run the application on my local server?

Yes, eLabNext products are not only available as a cloud-based Software service solution but can also be installed as a Private Cloud or On-Premises installation. With the On-Premise installation, eLabNext products are installed on a server of the clients' preference. For a dedicated managed hosting solution for your organisation, we recommend a Private Cloud installation. Can I upgrade from the Cloud to a Dedicated Installation?

Yes, this is possible. In fact, most labs start with Cloud installation. As soon as the system's benefit has proven itself or if your organisation decides to introduce eLabNext products in the entire organisation, it is possible to migrate existing data from the Cloud and set up a dedicated Private Cloud or On-Premises installation.
